How to Filter and Search Documents
Find specific documents quickly using search, filters, and sorting options.
CargoLint’s search and filter tools help you locate documents quickly, whether you’re looking for a specific shipment, a document type, or documents from a particular date range.
Before you start
- You have documents uploaded in CargoLint
- You know what you’re searching for (shipment number, document type, date, etc.)
- You’re on the Documents page
Steps
1. Open the Documents page
From the main navigation, select Documents. You’ll see your full document list with search and filter options at the top.
2. Use the search bar
Enter any text in the search field to find documents by:
- Shipment label or tracking number
- Vendor or customer name
- Invoice number or reference ID
- Product description
The search looks through all your document data and returns matching results in real time. For example, searching “acme-20260310” finds all documents labeled with that shipment identifier.
3. Filter by document type
Click the Document Type filter dropdown. Select from:
- Invoice
- Packing List
- Bill of Lading
- Certificate of Origin
You can select one or multiple types. Choose “Invoice” and “Packing List” to see only those documents, for example.
4. Filter by date range
Click the Date Range filter. Select a predefined range (Last 7 Days, Last 30 Days, Last 90 Days) or click “Custom” to specify an exact date range (for example, March 1–March 14, 2026). This narrows results to documents uploaded in your chosen timeframe.
5. Filter by document status
Click the Status filter to show only:
- Processing: Documents CargoLint is currently analyzing
- Complete: Extraction finished with confidence above 70%
- Requires Review: Documents with fields below 70% confidence
- Reviewed: You’ve completed review and approved these documents
Combine status filters to see, for example, all documents in “Requires Review” status, making it easy to prioritize your work.
6. Combine multiple filters
Use multiple filters together for precise results. For example:
- Document Type = “Invoice” AND Status = “Requires Review” AND Date Range = “Last 7 Days” shows invoices uploaded in the past week that need your attention.
7. Sort your results
Click the Sort dropdown to reorder documents by:
- Upload Date (newest or oldest first): Find your most recently uploaded documents
- Confidence Score (highest or lowest first): Focus on low-confidence documents or verify high-confidence ones
- Document Type (alphabetical): Group similar documents together
8. Clear filters and search
Click the Clear All button to reset all filters and show your complete document list again. This is useful when you want to start a new search from scratch.
9. Save common searches
If you frequently search for the same criteria (for example, “invoices from March requiring review”), note those filters for quick recall. CargoLint remembers your last search, but you can restore these manually each time.
Tip: Combine “Status = Requires Review” with “Confidence Score = Lowest First” to prioritize the documents needing the most attention.
Tip: Use shipment labels during upload to group related documents. Then search by label to see all matching invoices, packing lists, and bills of lading together.
Tip: Search monthly to create an archive export. For example, search “Date Range = March 2026” and export all March documents for your records.
