Sharing & Cloning
Send read-only results to people outside your team - a single document or a whole shipment - and reuse an existing document's data for a new one.
Two features help extracted data leave the place it came from: sharing sends a read-only view to someone outside CargoLint - either a single document or a whole shipment’s check results - and cloning starts a new document from an existing one’s data.
Sharing a document
Use sharing when a broker, client, or counterpart needs to see the extracted data but doesn’t have a CargoLint account.
Steps
- Open the document and choose Share (also available from the Documents list).
- Enter one or more recipient email addresses. You can optionally note the recipient’s company.
- Send. Each recipient receives an email with a private link.
What recipients see
Recipients get a read-only view of the document’s extracted data - no account required. They cannot edit anything or see the rest of your workspace.
Limits
- Links expire 3 days after they’re sent.
- Each share has a per-share recipient limit, and your account has a daily sharing quota. Both are shown in the share dialog as you approach them.
Tip: A share link is access to your data for anyone holding the link until it expires. Send it only to addresses you trust, and re-share after expiry rather than asking recipients to forward links.
Sharing shipment results
Use shipment sharing when the conversation is about the whole consignment rather than one document - a broker checking the file is consistent before lodging an entry, or a client waiting on the green light.
Steps
- Open the shipment and choose Share results. The button appears once the cross-document checks have run.
- Enter recipient email addresses, optionally with each recipient’s company.
- Send. Each recipient receives an email that already carries the highlights - overall check status, each document with its extraction confidence, and the top findings - plus a private link to the full results.
What recipients see
A read-only results page for the shipment: the consistency check status, every active document with its type and confidence, and the full list of findings. No account required, nothing editable, and no access to the rest of your workspace.
Limits
Shipment shares follow the same rules as document shares: links expire 3 days after sending, with the same per-share recipient limit and daily quota shown in the dialog.
Cloning a document
Cloning creates an editable copy of a document with the consignment-unique fields (document numbers, dates) cleared - useful when a new shipment reuses most of the same parties, goods, and terms.
Steps
- Open the source document and choose Clone (also available from the Documents list, Dashboard, and review editor).
- Pick where the new document belongs using the Group as picker: a new shipment (enter a reference) or an existing one.
- Confirm. The editable copy is created with document numbers and dates cleared, and lands in the shipment you selected - fill in the consignment-specific fields and review it like any other document.
Tip: Clone replaces re-keying, not review. Treat a cloned document like a fresh upload - check the fields that change shipment to shipment (dates, quantities, references) before approving.
What’s next
- Working with Shipments - Where cloned documents are placed
- Exporting Data - Download extracted data instead of sharing a view
- Generating Packing Lists - Generate a new document type from an invoice
